Position Summary
The objective of this position is to support event planning, event sales, and administrative duties pertinent to event processes and procedures. This position requires timely communication and consistent touchpoints to further a variety of time sensitive processes.

Requirements and Competencies

  • Minimum of two years of customer service experience.
  • Proficient in Microsoft Office Suite.
  • Detail oriented, organized, and exceptional time management skills.
  • Excellent written and verbal communication skills.
  • Ability to set priorities and adapt to change.

 Preferred Requirements

  • Applicable degree or certification in related field.
  • Professional experience in hospitality.
  • Experience using event planning software, such as Momentous.

  • Provide administrative support to Event Planning and Sales departments.
  • Answer, triage, and respond to client phone calls and requests.
  • Collaborate with other departments as necessary to complete tasks.
  • Administer event contracts with guidance from Event Planning and Sales departments.
  • Request, monitor, and process event-related deposits.
  • Request, monitor, and process other event-related document requests including proof of insurance.
  • Manage digital and paper files for clients, contracts, and events in Momentous event software.
  • Assist in preparation, distribution of, and updates to weekly event summaries.
  • Maintain and update the event planning procedures handbook.
  • Work closely with diverse clients and customers on a routine basis.
  • Other duties as assigned.

 Schedule
This position will work 10 hours per week but could expect to work up to 20 hours per week if requested. Hours worked will be weekday, daytime hours.

Work Environment
Work is performed at the DECC, generally performed indoors in a regular, sometimes noisy office environment. Most of the time is spent sitting in front of a computer monitor and keyboarding. The office space is in an open area. May involve giving tours of the DECC and helping on various projects in the building as needed.

Physical Demands
This position will require someone that is able to sit or stand on their feet for hours at a time. They will need to use their hands frequently, and be able to see, hear, type, and speak often.  This position will require bending and maneuvering.

The DECC uses USCIS Form I-9 to verify the identity and employment authorization of individuals hired for employment. On the form, an employee must attest to his or her employment authorization. The employee is required to present the DECC with acceptable documents evidencing identity and employment authorization at the time of hire. The DECC will examine the employment eligibility and identity document(s).
The list of acceptable documents can be provided by Human Resources.
