Summary/Objective
The Assistant Box Office Manager is a customer-focused and adaptable individual that supports all of the operations of the DECC Box Office and serves as back up to the Box Office Manager.

Requirements and Competencies

  • Must have knowledge of accounting; cash handling experience
  • Proficient in Microsoft Office Suite
  • 3+ years customer service experience
  • Excellent interpersonal and customer service skills
  • Ability to adapt to changes, delays, or unexpected events
  • Ability to succeed during high-pressure situations
  • Excellent organizational skills, attention to detail, and time management skills
  • Ability to work independently

Preferred Education and Experience

  • Working knowledge of Publisher and Ticketmaster (PCI)
  • 1+ years supervisory experience

  • Working knowledge of Ticket Master
  • Serve as a backup for Box Office Manager functions and responsibilities
  • Ensure the highest level of customer service and satisfaction
  • Research and resolve customer issues to exceed customer expectations
  • Assist the Box Office Manager in the training, scheduling and supervision of box office staff
  • Reconcile money from daily ticket sales, including preparation of bank deposits; appropriate daily, weekly and monthly reports and other event related functions
  • Maintain accurate records and reports for the Box Office including event files, ticket ledgers, daily sales figures, event information documents, and seating charts
  • Assist staff in the resolution of customers-ticketing problems during events
  • Assist in the collection of lost and found items and help guests retrieve items
  • As needed, assist in greeting guests for meetings or appointments and notify staff of their arrival
  • As needed, answer the DECC general phone line to answer questions or route calls to other staff
  • Sell tickets for all ticketed events
  • Assist and comprehend the building and monitoring of events, database management, and various specific event needs of promoters
  • Assist with event day operations, and provide support to promoters and resident organizations with ticketed related functions
  • Create and maintain a professional, positive and hospitable atmosphere
  • Follow health and safety protocols and ensure all Box Office staff is trained on procedures
  • Maintain a calm demeanor and manage difficult situations as needed
  • Additional duties as assigned

Schedule

This position is part-time with a schedule based on DECC event needs. It will have daytime, afternoon, and evening shifts scheduled on various days of the week and may include some holidays.

Supervisory Responsibilities
Assist the Box Office Manager in the supervision of Box Office staff

Work Environment
Most work is conducted in the AMSOIL Box Office, in a typical office setting.  The noise level in the work environment is usually quiet, but can be very loud.  Must be able to work a flexible schedule, including nights, evenings, weekends and holidays. Work spaces may vary based on the needs of an event.

Physical Demands
Will need to use their hands frequently, and be able to see, hear, type, and speak often.  The employee may occasionally be required to bend, sit or stand for long periods of time.  The employee must frequently lift/and or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.

Work Authorization/Security Clearance Requirements
The DECC uses USCIS Form I-9 to verify the identity and employment authorization of individuals hired for employment. On the form, an employee must attest to his or her employment authorization. The employee is required to present the DECC with acceptable documents evidencing identity and employment authorization at the time of hire. The DECC will examine the employment eligibility and identity document(s).
The list of acceptable documents can be provided by Human Resources.

This position is at will. This means if you are offered the position and accept, your employment with the DECC is for an indefinite period of time and it is subject to termination by you or the DECC, with or without cause, with or without notice, and at any time.
