Job Summary
Perform detailed accounting work at the DECC and assist with tracking all related financial activities.

Required Education and Experience

  • Strong working knowledge of Microsoft Excel.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite.
  • Excellent organizational skills and attention to detail.
  • Knowledge of general financial accounting and cost accounting.
  • Comprehension and ability to adhere to accounting principles.
  • Ability to maintain a high degree of customer service.
  • At least two years of related experience.

Preferred Qualifications

  • Detailed comprehension of budgetary and accounting principles, practices, and policies.
  • A degree in a related field.
  • Previous AP or AR experience.
  • Previous bookkeeping experience.
  • Experience working in a fast-paced environment.

Accounts Payable

  • Receive and process invoices.
  • Assign GL accounts according to chart of accounts.
  • Request approvals and ensure approvals and justifications are appropriate.
  • Calculating Sales Tax.
  • Enter vouchers, process batch vouchers.
  • Resolve Billing Discrepancies.
  • Print and mail Checks.
  • Complete credit card reconciliations.
  • Update, maintain and file supplier/vendor records.
  • Create monitoring documents and expense payments for payroll benefits.
  • Receive completed W-9 forms from organizations and process volunteer payments.

Accounts Receivable

  • Prepare and send invoices and correspondences as required.
  • Contact clients for payment resolution.
  • Record and reconcile payments.
  • Process and post customer payments.
  • Resolve payment discrepancies.
  • Monitor and pursue aging receivables.
  • Respond to inquiries.
  • Prepare and maintain vendor payments using event software system (EBMS).
  • Reconcile and audit supporting documents to ensure proper entries and adjustments.
  • Ensure all departments are performing within established financial guidelines.
  • Respond to vendors timely and effectively with any inquiries.
  • Investigate and resolve payment issues.
  • Assist with month end and year end accounts payable closing procedures.
  • Assist with cash handling procedures.
  • Prepare cash deposits as needed.
  • Maintain knowledge of acceptable accounting practices and procedures

Bookkeeping

  • Create journal entries.
  • Reconcile accounts.
  • Assist with preparing tax reports.
  • Assist with additional financial activities, as needed.

Schedule

This position is part time, up to 28 hours a week, with primarily weekday daytime hours but can also include weekend hours. Hours are flexible based on availability.

Supervisory Responsibilities

  • None

Physical Demands and the Work Environment
Most work is conducted in the Financial Office at the DECC, in a typical office setting. The noise level in the work environment is usually quiet. There will be prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time.

Eligibility Requirements

  • Must be 18 years of age or older
  • Successful completion of reference checks
  • Successful completion of a background check
  • Successful completion of a drug test, if applicable

Work Authorization/Security Clearance Requirements
The DECC uses USCIS Form I-9 to verify the identity and employment authorization of individuals hired for employment. On the form, an employee must attest to his or her employment authorization. The employee is required to present the DECC with acceptable documents evidencing identity and employment authorization at the time of hire. The DECC will examine the employment eligibility and identity document(s).
The list of acceptable documents can be provided by Human Resources.

At-Will Employment
This position is at will. This means if you are offered the position and accept, your employment with the DECC is for an indefinite period and it is subject to termination by you or the DECC, with or without cause, with or without notice, and at any time.
