DECC Receptionist – Thursday and Friday
Summary of Duties
The receptionist is the front line of customer service at the DECC and is expected to exercise the highest degree of customer service at all times. The receptionist greets clients, answers and directs incoming calls and provides clerical support to various departments as needed. The receptionist must operate a PBX multi-line telephone system and a two-way radio. The receptionist is expected to manage the large flow of guests, employees, phone calls, radio calls and requests for information in a positive and professional manner.
Expectations include the following, but other duties may be assigned.
Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel.
Answer incoming telephone calls; determine purpose of callers and forward calls to appropriate personnel or department.
Take messages or transfers calls to voice mail when appropriate personnel are unavailable.
Answer questions about organization and provides callers with address, directions or other information.
Monitor visitor access and issue keys when required.
Take payments for services and products.
Record incoming payments in daily log.
Distribute paychecks on paydays.
Receive sort and route mail.
Sign for incoming deliveries/prepare outgoing deliveries.
Schedule/prioritize runner for daily runs as requests are received.
Maintain fax machines, assist users, send faxes and retrieve and route incoming faxes.
Create and print memos, correspondence, reports, faxes and other documents as necessary.
Perform other clerical duties as needed, such as filing, photocopying and collating.
Prepare coffee in the morning and throughout the day.
Order coffee/water supplies.
Ensure reception area is kept neat and brochures stocked.
Maintain confidentiality with regard to upcoming events when appropriate.
Education/Experience
Must have at least one year previous receptionist experience and/or training; must have knowledge of Microsoft Word, Excel and Outlook; must be comfortable operating and maintaining fax machine, photocopier, mailer, and other office equipment.
Schedule
Thursday - Fridays from 7:45am to 5pm; other hours may be available at mutually agreed-upon times.
Physical Requirements
While performing the duties of this Job, the receptionist is required to sit, talk and hear. The receptionist is occasionally required to stand and walk and must occasionally lift and/or move up to 25 pounds, especially when receiving freight.
Work Environment
The receptionist works in a typical office environment. The noise level is usually moderate and occasionally loud. Days can vary from very little activity to extremely fast-paced and hectic, with many competing distractions.
Overnight Labor - $9.36 (part-time union position)
• Clean Arena, Auditorium and Convention Centers after hockey games, concerts, circus and other events; sweep, mop, and ensure that all DECC facilities are clean and welcoming.
• Set up and strike tables, chairs and platforms before and after conventions, trade shows and concerts.
• This is a physical job - you must be able to do a lot of walking and able to lift and move at least 50 pounds, with or without assistance
• Shifts are 10 p.m. – 6:30 a.m. typically work 3 to 5 days per week. Varies according to events.
• Ability to read and interpret documents, write routine reports, and speak effectively to guests.
• Physical and drug screen required.
Convention Services Setup – $9.36 (part-time union position)
• Set up and strike tables and chairs; lay and remove temporary carpet, set up and strike trade show booths.
• This is a physical job - you must be able to do a lot of walking and able to lift and move at least 50 pounds, with or without assistance.
• Must have a great attitude and work ethic, and have a demonstrated history of working well with co-workers and guests.
• Schedule: Shifts are typically 6 to 8 hours; 2 to 4 shifts per week; Scheduled hours vary quite a bit because we are an event-driven organization. Shifts are typically during the day, but can also occur afternoons and/or evenings.
• Physical and drug screen required.
Busser - $7.25 + gratuities (event driven part-time position)
• Clean plates, wash dishes and assist servers and cooks during catered events.
• Assist with plating meals, when required.
• Assist team members with projects as assigned and be able to deal with frequent change, delays, or unexpected events.
• Shifts generally last 4 to 8 hours and can occur at any point during the day, from 8:00 a.m. to 10:00 p.m. or any time in between.
Barback - $7.25 (part-time position)
• Assist bartenders by helping keep bar area well supplied and clean.
• Must be outgoing and have a customer-focused personality.
• Must be able to lift 165lbs (full keg of beer) up 12” (into cooler), with assistance.
• Shifts vary by events scheduled. Possibility of 1 to 3 shifts per week which may include days, evenings and weekends. Shifts usually are 4 to 8 hours.
• Some bar experience helpful.
Parking Attendant - $7.25 (part-time position)
• Ability to stand outside to assist traffic direction during all weather conditions.
• Collect fees from guests and assist guests from enclosed parking booth.
• Cash handling experience.
• Preferred experience in customer service related field.
• Must have a flexible availability for event driven schedule including day and weekend shifts (usually 10-15hrs wkly).
